STEP ONE - THE ENTRY FORM

  • ALL ENTRANTS must complete an Online Entry Form, regardless of payment method, to be eligible for entry.
  • For Series entries or Complete Advertising Campaign, only ONE form needs to be submitted per series. Please put all the titles in the “Title” field, separated by a slash between each. (A Series is two to three pieces that relate to one another.)
  • If you are entering a piece as both a Single and as part of a Series or Complete Advertising Campaign, a duplicate copy with its own online entry form and entry fee must be submitted.
  • You may now review your entries online before making final payment, to be sure all information is accurate, or come back at a later date to add more entries by following the instructions on the online form. To review your entries, visit www.appliedartsmag.com/myentriesPA using the e-mail address appearing on your entry form. Once you have finalized your entry by paying, you can no longer access your entries.

STEP TWO - PAYMENT

  • Payments can be made by Visa, MasterCard, American Express (available for Canadian entrants only), cheque and money orders. If paying by cheque or money order, make it payable to Applied Arts Inc. For U.S. and international entries, please submit fees in US funds. Please include a copy of your e-mail confirmation with your payment by the entry deadline of May 8, 2009. If payment is received after that date, your entry will be considered incomplete and may not be included in judging.
  • Once you have submitted your Online Entry Form, a copy will be sent to the e-mail address provided by you for each of your entries, with an ID number on it. Please match these forms to your titled entries and tape the forms securely to the back of EVERY piece being entered, no matter whether it is a Single or part of a Series.
  • If you are entering a piece as both a Single and as part of a Series or Complete Design Program, a duplicate copy with its own Online Entry Form and fee must be submitted.
  • Please keep a record of your submissions.
  • Don’t mount entries unless your submission includes many different small pieces.

Note: If you are selected as a winner, you will be notified by e-mail and asked to send us high-resolution files.

ELIGIBILITY REQUIREMENTS AND ACCEPTABLE FORMATS

All professional work from any country, first completed, published or aired between April 2008 and May 2009, but not entries that have been submitted into last year’s competition. Maximum entry size is 22 x 26 inches.

ACCEPTABLE FILE FORMATS

We typically require that entrants in non-Broadcast/Motion Graphics categories submit their work in hard-copy format, to ensure that our judges observe the work in its original, intended state. This ensures the fairest and most accurate judging procedure. However, we do acknowledge that there are cases when an entrant simply cannot submit hard copies, for whatever reason. If you do need to submit your files digitally, please select “Digital” from the File Format options on the entry page. If you are uploading Broadcast entries, please refer to our FTP instructions below.

Advertising Print & Collateral

  • Printed copies, colour laser proofs, colour copies, digital inkjet prints, ad tear sheets, pages or spreads, printed samples, photographic reprints, brochures, posters, etc. Maximum entry size is 22 x 26 inches. If an image is bigger than this, scale it down and reprint or enter as a digital file.
  • We typically require a hard copy for any print advertising entry. However, if you are unable to send us a hard copy for any reason, digital file upload information is available on the online Entry Form.
  • NOTE: Winners will be asked to supply high-res digital files for reproduction in the Annual. All winners will be on display at our year-end exhibit (date and location TBA).

TV/Cinema/Video/Motion Graphics (Uploaded Entries)

  • To be uploaded as two separate files
  • Video Specifications: One DVD-quality MPEG2 file, .m2v file, NTSC standard only, aspect ratio 4:3, 5.0 Mbps.
  • Audio Specifications: One .aiff, 44.1 MHz file.
  • Please name your files using your Entry ID numbers (from the entry forms sent to you via e-mail). All series files need to be organized in folders by category and then by ID number (e.g., 1000-001A, 1000-001B, etc.)
  • Stuff or Zip your entire submission folder and either e-mail it to Carrie Martin at awards[at]appliedartsmag.com or upload it to our FTP site (ftp.appliedartsmag.com), dropping your files in the Incoming/broadcast_entries folder. Username and password are not necessary.
  • To access the FTP site, you will need an FTP program, such as Transmit or Fetch. To get a free program, go to http://fetchsoftworks.com

Radio

  • Audio Specifications: MP3 @ 128 bitrate is the preferred format, followed by .aiff or .wav files @ 44.1 MHz.
  • Please name your files using your Entry ID numbers (from the entry forms sent to you via e-mail). All series files need to be organized in folders by category and then by ID number (e.g., 1000-001A, 1000-001B, etc.)
  • Stuff or Zip your entire submission folder and either e-mail it to Carrie Martin at awards[at]appliedartsmag.com or upload it to our FTP site (ftp.appliedartsmag.com), dropping your files in the Incoming/broadcast_entries folder. Username and password are not necessary.

For Betacam SP/DVD/or CD Submissions

  • All Video entries MUST have colour bars and tone at the head. All Radio entries MUST have three seconds of airtime at the front.
  • For Singles: If you have multiple single entries, in the SAME CATEGORY ONLY, they may be submitted on one tape, DVD or CD, with five seconds of black or air in-between each spot. Please tape your ID forms securely to the videotape box or disk case.
  • For Series: A maximum of three spots per Series can be entered all on the same tape, DVD or CD, with three seconds of black or air in-between each spot. If you have multiple Series, in the SAME CATEGORY ONLY, they may be submitted on one tape, DVD or CD, with five seconds of black or air in-between each Series. Please tape your ID forms securely to the videotape box or disk case.
  • NOTE: TV winners will be required to provide three digital screen grabs and a brief description for each winning entry. Radio winners will be asked to provide a digital file of the scripts for reproduction in the Annual and on the Website, where winners will also be displayed in QuickTime.

Unfortunately, due to the number of entries, Applied Arts CANNOT return entries. Applied Arts reserves the right to publish or exhibit entries in print or electronic formats for use in the magazine or related promotions. Applied Arts assumes all entries are original and the property of the entrant, with all rights granted therein. Entries are non-refundable. Costs cover administration, processing and the judging of the entry, so be sure you are accurate and your calculations are correct. A submission of entry acknowledges acceptance of these rules.
